Introduction

Timely fee payments are essential for smooth operations, and reminding applicants at the right time plays a key role in ensuring this. Manually following up with every applicant, however, can be time-consuming and prone to errors. That’s where Auto Reminders come in.

Auto Reminders allow you to automate the process of sending notifications to applicants via Email, SMS, or WhatsApp, which helps you collect fee payments in a timely manner. You can configure reminders relative to key dates (start, end, or due date), ensuring applicants are nudged at the right time without any manual effort. 

For example, you can set a reminder to go out 2 days before the due date to alert applicants in advance, and another one 3 days after the due date to follow up on missed payments.

Before proceeding, make sure you have configured your fees on the Fee Studio. 

These are the built-in reminders we’ve introduced to address the most common use cases. The details shown for each reminder are:

  • Reminder Title: Displays the title along with a short description indicating when the reminder will be triggered (i.e., how many days before or after the applicable date). Hovering over the title gives you two options:
  • View: Opens a dialog box showing the reminder's predefined details. These settings cannot be edited. If you have enabled a mode of communication (Email, SMS, or WhatsApp), a Preview option appears, allowing you to view the communication template. For email reminders, both mobile and desktop views are available.
  • Assigned Fee: Opens a dialog box to select the Fee Studios you want to apply the reminder to. You can either use a toggle to assign all Fee Studios at once or move selected Fee Studios from “Unassigned Fee Studio” to “Assigned Fee Studio” by clicking on it. Note that you can only assign reminders to Fees that meet the following criteria:
    • Fees must be active.
    • Fees should be allocated.
    • Due date reminders will be applicable to Fee Studios where the due date is active.
  • Applicable On: Indicates whether the reminder is based on Start Date, End Date, or Due Date
  • Email/ SMS/WhatsApp Toggle:  Lets you enable the specific channels through which the reminder will be sent.
  • Last Updated On: Displays the date and time when the reminder was last modified, helping you track changes
  • Action: Allows you to either view the reminder details or assign Fees created in Fee Studio - these are the same options that were accessible by hovering over the reminder title. 

Additional Options

To help you manage and navigate reminders more efficiently, the Auto Reminder page also provides the following options:

  • Search: Quickly find a specific reminder by typing its name into the search bar.
  • Filter: Narrow down the list of reminders using filter options. You can filter by:
    • Channel Status: View reminders that have an active Email, SMS, or WhatsApp mode of reminder.
    • Applicable On: Filter reminders based on the date they are applicable on ( i.e. Start Date, End Date, or Due Date )
