Applicant Profile

Introduction

The Applicant Profile page serves as a centralized hub for viewing and managing an applicant’s fee-related information. Designed to offer clarity and seamless visibility, this page helps institutions stay informed about each applicant’s fee overview in a structured and organized manner.

This page provides a clear summary of key fee figures such as total fees, payments received, and pending dues. The page also offers detailed insights into individual fees and centralizes all student-related actions such as sending payment links, marking offline payments, and downloading receipts - all in one place.
 

There are two ways to navigate to this page:

  • From Payment Ledger Page: Navigate to Menu > Applicant Data > Payment Ledger: Click on the application number to directly open the Applicant Profile page.
  • Directly from Applicant Records Page: Navigate to Menu > Applicant Data > Manage Applicant Records: Hover over the application number of the applicant whose profile you want to view, then click the “View Profile” (eye icon) to open the Applicant Profile page.




At the top of the Applicant Profile page, you will see the following:

  • Applicant Info Card: Located at the top left of the Applicant Profile page, this section displays key details about the applicant, including the application number, name, email, and mobile number. The application number is always visible, while the name, email, and phone number will appear only if they have been added. You can also click on the application number to view or edit the applicant's record directly from this page.
  • Consolidated Fee Summary: This section provides a comprehensive overview of all fees for which the applicant is eligible. The fields displayed here and their significance are as follows:
    • Total Amount: The total fee for which the applicant is eligible. This does not include any late fees or late fee surcharges.
    • Total Paid Amount: The total amount paid by the applicant, inclusive of late fee charges and surcharges.
    • Total Late Fee Collected: Represents the portion of the total paid amount that accounts for late fee charges and surcharges on late fees.
    • Pending Amount: The outstanding fee balance yet to be paid by the applicant, excluding any late fee charges.
    • Total Due Amount: The total fee amount that is currently overdue (i.e., past its due date), including any late fees and surcharges.
    • Total Discount Amount: The total value of all discounts that have been applied by the applicant.
      Payment Status Chart: A donut chart that represents the percentage of fees paid versus pending.
       

Below are three tabs, each providing specific fee and payment-related details of the applicant. The tabs are as follows:

  • Fee Details: This tab contains a comprehensive list of all fees along with specific fee-related data. The significance of each fee detail is explained below:
    • Fee Title: The name of the fee for which the applicant is eligible.
    • Total Amount: The total fees for which the applicant is eligible. This does not include any late fees or late fee surcharges.
    • Late Fee Accrued: The total amount of late fees accumulated to date, including any late fee and late fee surcharges.
    • Total Paid Amount: The total amount paid by the applicant, encompassing late fee charges and surcharges.
    • Pending Amount: The outstanding fee balance yet to be paid by the applicant, excluding any late fee charges.
    • Discount Applied: The total discount value applied to the fees.
    • Paid Late Fee: The portion of the total paid amount that was paid towards late fee charges
    • Due Amount: The total fee amount that is past its due date. This includes late fees and surcharges.
    • End Date: This is the end date of the fees.
    • Status: This shows the current payment status of the fee, which can be Paid, Unpaid, or Partially Paid.
    • Action: Allows you to view the payment history, send payment links, or mark the payment as offline.
  • Payment History: This tab provides a detailed record of all payments made by the applicant. The significance of each detail shown under this tab is explained below:
    • Order ID: A unique identifier for each payment transaction.
    • Total Amount: The total fees for which the applicant is eligible, excluding any late fees or late fee surcharges, if any.
    • Paid Amount: The actual amount paid by the applicant, including late fees and surcharges.
    • Payment Date: The date on which the payment was made.
    • Receipt No.: The receipt number for the transaction. This will be available only if the receipt number is configured. To know more, refer to this article.
    • Payment Mode: The payment mode used by the applicant (e.g., Online, Cash, etc.).
    • Action: This provides the following options:
      • View Details: View full details of the transaction.
      • Download Receipt: Download the payment receipt.
  • Payment Links: This tab displays comprehensive details of all generated payment links. It is divided into two sections:
    • Single Payment Link: This section provides a list of all the payment links that have been generated for Miscellaneous Fees or Configured Fees. You can also create a new payment link by clicking the “+ Payment Link” button or resend the link that has expired by changing the end date. Below is a description of each field shown in the list:
      • ID: A unique identifier automatically generated for each payment link. This helps to uniquely identify and track each payment link created.
      • Reference No. / Admission Number: This is the application number of the applicant.
        Total Amount: The total fee amount for which the applicant is eligible. This does not include any late fees or surcharges.
      • Paid Amount: The actual amount paid by the applicant.
      • Discount: The total value of all discounts applied to the fee.
      • Amount to be Paid: The remaining amount the applicant is required to pay.
      • Paid On: The date on which the payment was made by the applicant
      • Payment Link: This is the actual payment link. You can hover over it to copy or resend the link.
      • Payment Link For: Indicates whether the link is for Miscellaneous or Configured fees. To know more about this, refer to this article
      • Payment Status: Displays the current payment status (e.g., Paid, Unpaid, Partially Paid).
      • Status: A toggle to activate or deactivate the payment link.
      • Expiry Date: Shows the expiry date of the payment link, or “NA” if the No Expiry toggle was enabled at the time of link generation.
      • Created On: The date the payment link was created.
      • Source: Indicates the source of the payment link, which is Collexo
      • Action: The following actions can be performed:
        • Edit Details: Click to modify the payment link details.
        • Send Link: Click to resend the
    • Split Payment Link: This section provides a list of all the split payment links that have been generated for Miscellaneous fees or Configured Links. You can also create a new payment link by clicking the “+ Payment Link” button or resend the link that has expired by changing the end date. Below is a description of each field shown in the list:
      • ID: A unique identifier automatically generated for each payment link. This helps to uniquely identify and track each payment link created. On clicking the ID, you can view the payment link details and change the following: amount, number of splits, start date, and expiry date.
      • Reference No. / Admission Number: The reference number entered during link generation—this can be an application number or any custom identifier.
      • Total Amount: The full fee amount for which the applicant is eligible. (excluding any late fees charges).
      • Paid Amount: The actual amount paid by the applicant so far.
      • Discount: The total value of all discounts applied to the fee.
      • Amount to be Paid: The remaining balance the applicant needs to pay.
      • Expiry: Indicates how many of the generated split payments have expired. Click on this to find out details of expired payment links.
      • Payment Status: Reflects the current status of payments, such as Paid, Unpaid, or Partially Paid.
        Payments: Shows how many of the total split payments have been completed by the applicant. Click on it to know the amount and the date on which the payment was made.
      • Link Status: A toggle to activate or deactivate the split payment link.
      • Created On: The date the split payment link was created.
      • Payment Link: The actual link for payment. You can hover over it to copy or resend the link.
      • Action: Click to edit the payment link details as needed.

Conclusion

The Applicant Profile page offers a quick and centralized view of all applicant fee-related information, making it easy for institutions to manage payments, track dues, and take necessary actions efficiently.
