Payment Records

Introduction

As an institution, you often need quick access to accurate and approved payment data for reporting, audits, and internal reviews. The Payment Records page helps you do exactly that. It gives you a clear, consolidated view of all successful transactions, allowing you to easily search, filter, and download the information you need. With this page, you can generate reliable payment reports in seconds and manage your financial records with confidence.

  • Go to Menu

  • Click on Reports 

  • Select Payment Records

Below are the key details provided on the Payment Records page:

  • Order ID: A unique identifier assigned to each transaction.

  • Order No: This refers to the application number of the applicant The Order No. depends on how the fee was configured:

  • If the fee was collected via a payment link: The Order No. will be the Reference Number used while generating the payment link.

  • If the fee was configured using ERP: The Order No. will be the application number.

  • Receipt No: The receipt number generated for the payment. This is visible only if you have subscribed to the Receipt Number feature and enabled it. To know more, refer to this article.

  • Student Name: The name of the applicant associated with the payment.

  • Mobile: The contact number of the applicant.

  • Total Amount: The total fee assigned to the applicant, excluding any late fees or surcharges.

  • Paid Amount: The total amount paid by the applicant, including late fees and surcharges, if applicable.

  • Status: Indicates whether the payment is "Approved" or "Refunded".

  • Payment Approved Date: The date and time when the payment was approved.

  • Mode: The payment mode involved, such as Online, EMI, Cash, Demand Draft (DD) etc.

  • Action: Provides the following options for each payment:

  • View Details: Displays the complete transaction details for the selected payment.

  • Download Receipt: Downloads a receipt for the approved payment.


Additional Options

  • Search: Users can search for payment records using criteria such as Order ID, Name, Email, Mobile, Transaction ID, etc.

  • Filter: Payments can be filtered based on Payment Mode, Payment Status and Payment Approved Date. Date filter allows users to refine their search within a specific date range.

  • Download: Users can download the payment records that have been selected.
